Who Should Be Your Zoho Super Admin? Don't Take This Lightly

Deciding who holds the Super Admin role on your Zoho account is a bigger decision than most companies realize. Here’s what you need to know, and the best practice I recommend to every client.

What Is a Super Admin, Really?

As far as Zoho is concerned, the Super Admin owns the data in your system. That’s not an exaggeration: the Super Admin can lock out the company’s own owner and walk away with the data. Yes, there can be legal consequences for doing that. But while you’re pursuing them, you’re locked out of the records you need to run your business.

Beyond that worst-case scenario, the Super Admin handles real day-to-day authority. They add and remove users. With Zoho One or CRM Plus, they turn on applications and decide which users get access to which apps. They also receive the subscription’s billing reminders and invoices.

Best Practice: Build Integrations Under the Super Admin Account

If you’re connecting Zoho applications to each other (CRM and Campaigns, CRM and Books) or building an API or extension between a third-party tool and Zoho, do it under the Super Admin account. Every time.

Here’s why: if the person who built that integration leaves and you deactivate their user, the integration breaks with them. You’d have to reactivate that former employee’s account just to properly disconnect the integration and rebuild it under someone else. It’s a needless headache that a little upfront planning avoids entirely.

Make the Super Admin a Role, Not a Person

In nine years of doing this, I’ve run into this problem more times than I care to count. My strong recommendation: the Super Admin account should be a general email address, not one tied to an individual. Something like zohoadmin@yourdomain.com or it@yourdomain.com works well.

This does two things. First, any integrations built under that account stay intact regardless of who’s employed there. Second, it lets you safely share the login with more than one person, such as the owner and someone on your IT team, without tying critical access to a single human being.

Yes. Even if it’s just you today, think ahead. You might sell the company. You might win the lottery and disappear to a beach somewhere. Whatever the reason, when ownership changes hands, you can hand over Super Admin credentials that were never tied to your personal email, and the transition happens without a hitch.

The Bottom Line

The data in your Zoho system is too important to leave under one person’s login. Make sure the right people have admin access, and make sure more than one person can get in the door.
